
HELP!! My mboss receives so much mail. Like 12GB in a year. The outlook PST gets so loaded that it slows his mail and has even crushed one hard disk. its piling at an alarming rate this year we will hit 24GB of outlook mail. He doesnt want to delete old mail.Whats the other way of handling such bulk??

There are 5 basic options: Google Apps - This has a limit of 25GB and your entire domain will have to move to it at a cost of $50/user/year. Scaling in the future should be doable. Office365 hosted email (Exchange) - Same 25GB limit and same requirement to move your entire domain to it. $48/user/year Exchange in your physical office - Very expensive and only sensible when you have a solid technical team, a good data center, AND poor Internet connectivity OS X Mail Server - Kind of crazy ... but could be fun and in theory should work :-) Linux mail server - Another fun idea but you're really spinning cycles to fix what I would call a non-core business problem. Given the issue you have raised your solution may be as simple as creating multiple *.pst files. @james maintaining multiple PST files is the simplest option but it's not really forward thinking IMHO. The sooner that data gets into the cloud and that guy doesn't have a growing set of PST files, the better. @Adam the cloud argument is valid but not for all cases. Sometimes its not such a bad thing to have local backups, just in-case your access to the web is limited or non-existent. Email has been solved and you need to focus on a good solid solution that costs you the least amount of time IN THE FUTURE. Hosted solutions will alleviate most security and performance concerns for a low flat fee which is surely less than your cost to the company. This allows you to focus on problems specific to your company and develop your career.

@steve just to add to what @wash has said,your problem can be sorted out by finding out what your bosses inbox contents are.I am convinced 12GB includes the Video's and pictures which can be archived and zipped on any storage (external) or with Exchange users home folder.What i may insist you do is set Enforceable Mail box limits policy's,to be followed even by the boss,iki jaa...force stop mail send and receive.This should force your boss to be responsible...or else..... There are 5 basic options:
Google Apps - This has a limit of 25GB and your entire domain will have to move to it at a cost of $50/user/year. Scaling in the future should be doable. Office365 hosted email (Exchange) - Same 25GB limit and same requirement to move your entire domain to it. $48/user/year Exchange in your physical office - Very expensive and only sensible when you have a solid technical team, a good data center, AND poor Internet connectivity OS X Mail Server - Kind of crazy ... but could be fun and in theory should work :-) Linux mail server - Another fun idea but you're really spinning cycles to fix what I would call a non-core business problem.
Email has been solved and you need to focus on a good solid solution that costs you the least amount of time IN THE FUTURE. This allows you to focus on problems specific to your company and develop your career.
Research the options above, come up with one and back it up with facts and numbers and present it to your boss with authority. If you have confidence, your boss will listen. If he doesn't, do more research until you feel like your decision is unassailable. If he still doesn't listen, seriously start looking for another organization. It's 2013 and you need to seize the day as an ICT person.

I dont see how a 'terrabyte" file would work. For most windows programs, if you try to open a filesize beyond a certain size; your memory runs out or your computer crashes. I think the best solution is just that : 1. Create multiple personal folder files - name them by year - Inbox 2011, Sent 2011, Inbox 2012, sent 2012 etc 2. Outlook will occasionally and automatically ask the 'mboss' to archive. Outlook will also create multiple *pst if the current one becomes full. 3. Get them out of the computer as has already been suggested - and put them on a server with good disk space. You can also make dvd copies. Or put them on two separate external disks (backup) Thats what I have done for my past 5 year emails.

Just as Michael has advised you. You need to create multiple archives. I always do so when my mails hit 5gb i create an archive for the old mails. Create multiple .pst files for your mails. When the .pst file reaches like 4-5gb then create another .pst file. Also create folder on outlook and link them to each f the .pst files you have created. It has worked for me. Find out what is eating up all that space 2. Find a way to make sure he can access the mails that he sees as important (am praying he doesn't keep emails even for meeting requests etc) 3. Tell him (Manage him) that he will lose all his emails if he doesn't archive (remind him of the fried hard drive and maybe IEBC system ) 4. @Adam...I offered him a solution for now so that at least his boss can receive emails. However looking at the option you have offered, i do not consider it prudent to have all users emails hosted on the server. Everything has a limit and a cost. You can imagine mailboxes equal to 12GB each stored in an Exchange server with a user community of 100 people. Cloud solution is good but leasing all that space to store emails as back as 5 years is also not wise, economical or feasible for average organizations in Kenya. There are 5 basic options:
Google Apps - This has a limit of 25GB and your entire domain will have to move to it at a cost of $50/user/year. Scaling in the future should be doable. Well, I'll answer this, after "kuwa mpole". 1. You do not let your boss control you on something they do not understand, and as such have entrusted to you. If anything, old mail must be archived and the archive moved to safe storage, possibly in multiple locations and should only be retrieved for reference. Microsoft wasn't silly when they gave that option and your mboss must respect that or design his own software that can handle that large volume of mail without him complaining. 2. You mboss must realize that he does not, on a typical day or month, look at all mail received/sent from January to December. So some must be put into PSTs, archived by month, and stashed away. (a) *My mboss receives so much mail. Like 12GB in a year - *Your boss must be doing something quite abnormal to receive that volume of mail. He should limit the amount of communication he receives, possibly delegate some of those to other staff.
