Charge them (without telling them you are charging them) $1500 return ticket per person and $400 per day per person. Put it into your quote as part of the software cost, then tell them your company will pay for the travel and accommodation installation is free :) . Put all your costs exclusive of all taxes so that they tell you how much tax you will have to pay and you wont get involved in it. also see if you can get away with 70% down payment 20% after deployment and 10% 30 days after but make sure you have very clear points on what deployment means so you can peg it to the 20%<div>
